Searching for the best hotel deals online can be very time consuming and frustrating, especially when hotels seem to offer different rates for the same stay! Often the lower the rate, the less it includes and the more restricted it is in terms of amending or cancelling the booking. Low rates often require pre-payment - not usually appropriate for businesses as plans can change at the last minute.

Secure booking system with guest profiling
Within our specialised booking system, we securely store profiles of all our guests including their room and floor preferences, special requests, meal allowances and credit cards used for payment.

Often business accommodation is required at very short notice, and our hotel booking agents can quickly turnaround any enquiry. We do recommend that bookings are made as far as possible in advance though, so you can benefit from the best accommodation options and the most cost-effective rates.
Multiple booking channels and rate comparison
Business reservations are usually midweek and in key locations availability can become very limited - rates also invariably rise as hotels try to maximise their yield. For every enquiry we compare rates across multiple booking channels, so our clients can rest assured that they’re buying the best available rates suited to their needs. By searching different sources and using our extensive hotel contacts, we can also often find rooms where other sites don’t have availability.
We largely work on a commission basis with the properties we book, so we’re able to offer our services free of charge. Where some inns, lodges and independent hotels don’t work on this basis we apply a percentage fee which is invoiced weekly. Our proposal documents include details, so you’d be aware of the applicable fee before booking.
Detailed rate proposals and confirmations
For all hotel enquiries, our hotel booking agents will present the best hotel options for your brief and budget in a clear proposal, to include hotel location details, costings, rate inclusions and savings achieved. Then simply tell us which hotel from the proposal you’d like to reserve; we’ll make your booking and email confirmation!
Check-in day reassurance
To complete our hotel booking process, we contact hotels on check-in day to make sure they have all the details they need for our reservations; ensuring guest check-in is as smooth and stress-free as possible.
Co-ordination of hotel payments
We can arrange hotel payments by individual guest credit cards or centrally-held company cards – details are securely stored in our system and communicated to properties in line with the latest legislation. We also offer a comprehensive bill-back service where we pay the hotel on our clients’ behalf and invoice them weekly (please see ‘corporate hotel account management
’ for further details).
Corporate rate negotiation
As we continue to work with our clients, we build up a picture of locations booked regularly, and identify booking trends. Where clients make significant volume bookings into specific hotels or brands, we’ll negotiate discounted corporate rates for them; fixed-rate agreements (often with added extras) to reward them for their loyalty, which apply when booked by our team. This helps our clients greatly with their hotel budgeting and makes reservations as cost-effective as possible.
If a client has existing corporate rates in place which have been negotiated by them directly with hotels, we can still book these on their behalf. To book these rates we’d simply charge a fee equal to the standard amount of commission we would have received. Where this occurs, full details of the applicable fee are advised in our proposal documents, and fees are invoiced on a weekly basis.
