This client asked us to source hotel rooms close to a venue where their company was exhibiting.

- Client company to settle B&B / guests to pay own extras

Having booked rooms for the same exhibition for previous years, we knew that the most cost- effective rates in the hotels closest to the venue would be found if booking well in advance. We identified a range of hotels within the client’s budget and within easy travelling distance of the exhibition venue and presented our search results in a proposal which included details such as the hotels’ proximity to the exhibition venue, room types sourced, B&B rates and payment/cancellation terms.
From our proposal the client selected the hotel most suited to their needs, which we confirmed on their behalf; sending a comprehensive confirmation document featuring a detailed summary of all reservations made.
Rooms were in high demand due to the exhibition, so the selected hotel required pre-payment of the B&B rates. We co-ordinated this for the client, securely communicating their card details to the hotel and arranging for VAT invoices to be sent to them after guests had checked-out.
