General

All contracts are made between the Client and the relevant venue or event supplier; not with Corporate Hotel Bookings.

No variation or modification to the Terms and Conditions shall be valid unless evidenced in writing and signed by a duly authorised representative of Corporate Hotel Bookings.

This Agreement supersedes any prior agreement between the Client and the venue or event supplier; written or oral.

These terms and conditions shall be governed by English law and the Client submits to the exclusive jurisdiction of the English Courts.

It is the Client's responsibility to check and ensure that all booking details are accurate and correct. Corporate Hotel Bookings accepts no responsibility or liability for any discrepancies discovered subsequent to the booking being confirmed.

Upon entering into this Agreement the Client consents to disclosure of information by Corporate Hotel Bookings to the venue or event supplier for the purposes of the Data Protection Act 1984.

Venue & Event Supplier Bookings

On receipt of a brief Corporate Hotel Bookings will endeavour to provide the Client with a minimum of three suitable venues or event suppliers with availability.

Corporate Hotel Bookings recommends that the Client visit their preferred/chosen venue prior to confirming but where this is not possible Corporate Hotel Bookings will provide as much information as possible to aid the Client’s decision.

Prior to confirming Corporate Hotel Bookings will provide further information on the venue or event supplier’s policies concerning attrition and cancellation. These terms can be negotiated by the Client or Corporate Hotel Bookings can do so on their behalf.

To confirm a venue or event supplier Corporate Hotel Bookings will provide a comprehensive confirmation document detailing services agreed and this will be sent to the venue or event supplier and the Client. The Client is responsible for checking the details within this document and should inform us immediately of any errors.

On receipt of the Corporate Hotel Bookings confirmation document the venue or event supplier will forward their contract direct to the Client. The contract should be signed and returned to the venue or event supplier within any stated time scale in order for the booking to be deemed confirmed. If the Client does not receive the contract within reasonable time they should inform Corporate Hotel Bookings as the booking is not confirmed.

Clients are advised to insure their event against unforeseen circumstances and force majeure* and Corporate Hotel Bookings can recommend companies specialising in event insurance. Unless the Client advises otherwise Corporate Hotel Bookings will assume the Client has adequate insurance.

* Corporate Hotel Bookings does not accept liability or pay compensation for any loss, damage or expense where the performance or prompt performance of our obligations is prevented or affected by reason of force majeure. Force Majeure means any event which Corporate Hotel Bookings or the supplier of the service could not, even with all due care foresee or avoid such as war or threat of war, riots, civil strife, terrorist activity, industrial action, natural or nuclear disaster, fire, adverse weather conditions, closure of airports or ports, technical problems with transport, governmental action and all other similar events.

Venues and event suppliers are recommended by Corporate Hotel Bookings as being suitable for the Client's brief; however the venue or event supplier will be solely responsible for the provision of the event.

Hotel Bedroom Bookings

To make an individual reservation or to reserve a room from a group allocation the Client may book via the Corporate Hotel Bookings website or call +44 (0) 1423 888889.

Credit card details must be provided whether booking via the Corporate Hotel Bookings website or via the office.

Clients booking via the website should fully research any restrictions relating to the rate before confirming as some rates cannot be amended or cancelled without charge. If booking via the telephone any restrictions will be highlighted prior to booking.

The booking is only confirmed when the Client receives a booking confirmation via email. Corporate Hotel Bookings recommends that the Client make a hard copy of the confirmation at the time of booking and retain it for the Clients information. If the Client does not receive a booking confirmation then the booking has not been made.

The Client is responsible for checking the details within this document and should inform us immediately of any errors. We do not accept liability for any errors not notified to us within 48 hours of the date of booking and it may not be possible to make corrections at a later stage.

Amendments and Cancellations

Should it be necessary for the Client to amend a confirmed booking Corporate Hotel Bookings will endeavour to arrange this with the venue or event supplier; however amendments cannot be guaranteed and may incur a charge from the venue or event supplier.

Cancellation should be sent in writing to Corporate Hotel Bookings. Charges will be subject to the venues or event supplier's terms and conditions as set out in their contract. The Client will be solely liable for any charges levied by the venue or event supplier.
